RUNNERS' CLUB OF GREATER CINCINNATI BOARD MEETING MINUTES
November 7, 2004

Newsletter: Mike Moyer has contacted Amy to ask if she would be able to manage quarterly issues of the newsletter (to be published on or around January 15, April 15, July 15, and November 1, as agreed to at the Board meeting October 10) instead of every two months. As of today's Board meeting, Amy had not yet responded to Mike. Jody agreed to call Amy in follow-up. It is important to get the next issue of the newsletter out very soon to inform members of upcoming events, specifically, the Holiday Lights Run Dec. 7, the Happy Hour Jan. 5, the Holiday Party Jan. 14 (sign up before December 20), the Valentine's 2 Mile Run Feb. 13, and the Heart Mini-marathon April 3 (suite at Westin will be reserved).
Website Updates: The Board agreed that Mike should update the website as soon as possible to note the key upcoming events listed above. In addition the website should note that volunteers needed for Thanksgiving Day Race cleanup Nov. 25. The Board agreed that the website should be updated regularly, perhaps once a week.
Valentine's 2 Mile Run (Sunday, February 13, 2005 [the date has been finalized], 12 noon, NKU): Fliers are not yet available and should be printed and made available soon. T-shirts need to be ordered as well. Regarding awards, the Board members present unanimously agreed that award categories be simplified. The following award categories were suggested: individual awards be given to the top 10 men and top 10 women; couples awards be given for the following combined age (male plus female) categories: 50 years and under, 51-75 years, 76-100 years, 101+ years. Up to five awards would be given for each age category. Awards have not yet been decided upon but insulated cups that keep canned beverages cold are being considered. The Board felt that results should be compiled more quickly than has been done previously so awards can be presented more promptly. Nick and Mike are working on ideas regarding this event.
Social Events:
(1) Holiday Lights Run: Tuesday, December 7, 2004, 6:30 p.m. Tom has finalized the date and all arrangements. The run will begin and end at the Williams YMCA, as in previous years. Refreshments afterward will be at O'Bryon's Irish Pub, O'Bryonville. Several volunteers are needed to help drive some people from Fountain Square back to the Williams YMCA, if they don't wish to run back to the Williams Y from downtown.
(2) Next Club Happy Hour: tentatively Wednesday, January 5, 2005, 6:30 p.m., at the Olde Fort Pub in Fort Thomas, KY. Holding the Happy Hour at this time and place will help publicize the Holiday Party on January 14. The running course could go past the Fort Thomas Community Center to show runners where the Holiday Party will be.held.
(3) Holiday Party: Friday, January 14, 2005, 6:30-11:30 p.m., at the Fort Thomas Community Center, Fort Thomas, KY, the site of last year's party. Invitations (with mail-in RSVP section) will be sent as a single sheet incorporated into the next newsletter. Mike Moyer has arranged for the same caterer we used last year (Andy Scott Productions of Independence, KY). Jody has arranged for the same DJ we used last year (Musicline Productions). There will be a reduced fee ($15 per person) for individuals registering before Monday, December 20 (moved back from December 10). The fee will be $20 per person after December 20. Mike will set up on-line registration similar to that for a race. Jody will email key information to Amy for the newsletter.
Upcoming Races:
(1) November 13: Run the Park (5K, 10 a.m., Oak Grove Shelter House, Versailles, IN) Mike, Nick, and Tom will man the finish line. Other help will be appreciated.
(2) November 25: Thanksgiving Day Race (10K, 9 a.m., Second Street near Paul Brown Stadium) The Club will help with clean-up, as we did last year. Mike will confirm with Julie Isphording that the Club will be paid $500 for its clean-up efforts. Members might want to bring a pair of gloves for this work.
(3) April 3: Heart Mini-marathon (5K 9 a.m. and 15K 10 a.m., downtown Cincinnati): Jeff Sprague will try to reserve the same suite we used last year.
Other Business:
(1) Smaller Tent: Nick has purchased a new smaller tent that is about 10 feet x10 feet when set up. The new tent is more portable and easier to set up than our existing larger tent.
(2) Possible Incorporation into RCGC of T.J. Dougherty's Track and Relay Team: T.J. Dougherty, UC graduate and employee at Bob Roncker's Running Spot, has formed a team of about 10-12 elite runners to participate in track events and selected road races including some that are relays. Peter suggested at last month's Board meeting that we invite T.J. and his group to join RCGC. T.J. described his group as a "post-collegiate, developmental squad." He said that he has arranged with Bob Roncker for his group to purchase shoes from Bob's store at cost and that Bob will provide 10 racing uniforms with the store name on them. This group has not yet established cut-off times for membership but plans to do so soon.
T.J. added that his group has participated in several recent local events: the Hyde Park Blast, the Newtown 5K, the Kicks for Kids 5K, and the Akron Marathon Relay. Currently the group has two weekly organized workouts: Sundays at 8 a.m. in Hyde Park with a run of 8 to 18 miles and Tuesdays at 7:30 p.m. at the UC or Norwood track. Randy Cox is giving individualized coaching to some members of the group.
The Board agreed we would like T.J.'s group to be part of our elite racing team. Affiliation with a larger group such as RCGC might be advantageous for T.J.'s group (e.g., his group should not need a separate USATF membership). RCGC members could benefit from training runs and tips from members of T.J's group. T.J. agreed to discuss this possible RCGC affiliation with Randy Cox.
Next Board Meeting: Sunday, December 5, 1 p.m., at New Balance Cincinnati Store in Glendale (located on Sharon Road just west of the railroad crossing and next to the new Glendale Pub). Note this change in location.
