RUNNERS’ CLUB OF GREATER CINCINNATI BOARD MEETING MINUTES
Clifton Recreation Center, Cincinnati OH
December 7, 2010 7:00 PM

Present: Todd Hofacre, Gina Meyers, Terry Elliott

Meeting came to order at 7:05 PM.

Meeting Minutes: November Minutes to be approved at next board meeting.

Financial Report: Todd reported a club balance of $7,860.00, with an outstanding balance of $600.00. End of year club balance is projected to be around $6,000.00. Three big club expenses coming up are internet costs, RRCA dues, and the Holiday in Lights run. Ryan and Todd met to go over the 2011 budget, to be approved at the next board meeting. Increase in revenue for 2011 includes merchandising, the Weight Watcher’s Walk-It 5k, and the Memorial Day and Valentine’s Day races. Interest is down from affiliates, such as Google. Increased club expenses for 2011 include marketing, website costs and postage, mile races, and race equipment. Some expenses to be cut for 2011 include the club scholarship and newsletter costs. Net loss for 2011 is projected to be at $3,675.00.

Membership: Nothing new to report.

Newsletter: Content we have currently will be included in the winter 2011 newsletter, to be sent out mid-end of January. Cindy Moore will be the featured runner.

Website: Several members reported having trouble paying with PayPal on the club’s website. Todd will look into getting this corrected. The club may look into working with a new online registration company, runsignup.com, for race entries.

Social: Holiday in Lights Run - Tuesday, December 14: Laura has worked on getting everything set up and ready to go. Run starts from the Williams YMCA at 6:30 PM, and ends with a post-race party at O’Bryon’s Pub starting around 8:00 PM. Approximately 30 people are expected to participate at this time. The post-race party is free to members and $5.00 for non-members.

Hood-To-Coast Movie – Tuesday, January 11: Nothing new to report.

Races: Winter Wonderland & 2011 Races: For the club’s 35th year anniversary in 2011, Todd had mentioned bringing back the Winter Wonderland run to be held in January. We haven’t yet heard back from Laura or the Cincinnati Park Board to see if we will move forward with planning this run. Other possibilities include having an RCGC anniversary race in late fall, 2011, or a “Hill Climb” series.

Valentine’s Day Race – Sunday, February 13: We are expecting to have about 350 participants sign up for this race. Packet pickup will be at the Newport Running Spot and the Student Union Center on NKU’s campus on Friday before the race. Group Health Associates and Courtyard Marriott Florence will be two of the sponsors for the race this year. Their logos need to be added to the race t-shirt and flyer. Steve Kruse would like to use a new timing system this year to speed up and simplify posting the results online. More volunteers are needed to help out with this event.

Heart Mini-Marathon – Sunday, March 20: Todd will reserve two rooms at the Westin hotel downtown for the Club’s Heart Mini-Suite. More to follow.

Flying Pig Marathon – Sunday, May 1: Todd and Laura attended an informational meeting to learn how the Club would be able to participate as a “partner charity,” by raising pledge money for other charities. This would include discounted registration for members though use of a coupon code.

Races: Weight Watchers Walk-It 5k – May 22: Todd has submitted an application to RRCA for involvement in 2011, and will likely hear back from them at time of membership renewal.

Race Committees: The club still needs a committee for the Memorial Day Race. The Club may look into getting the Pig to help out post-race.

Group Runs: The Wednesday night group runs will remain unchanged – to be held at Hyde Park Square at 6:30 PM. Sunday runs may switch to Florence starting in late December/early January. Gina and Terry will meet to discuss details of the new Sunday group runs. More to follow.

RRCA: Dues to RRCA ($1,000.00) need to be sent in this month. Nothing else new to report.

Programs/Seminars: Todd mentioned the possibility of hosting a speaker from the Flying Pig for a seminar.

Merchandising: For 2011, the Club would like to have long sleeve dryfit t-shirts. Todd will look into getting a discounted price from the Flying Pig. About 40 shirts will need to be ordered.

Miscellaneous: Nothing new to report.

Next Board Meeting: To be held January 4, 2011 at 7:00 PM at Clifton Rec. Center.
